Setting Up Course Reserves

How do instructors submit reserve requests?

For electronic reserves or for traditional print reserves housed behind the circulation desk, e-mail your syllabus or reading/listening lists to Emily Joseph at emilyjoseph@jhu.edu. Alternatively, instructors may pull needed materials and deliver to the circulation desk with required documentation (see below).


What information does the library need from the instructor? 

   For traditional print and audio-visual reserves:

  • Course name and number.
  • Loan period for print reserves; the default loan period is two hours, but 24 hours, 3 days, and 6 weeks are options, as well. 
  • Complete citations for journal articles: article title, author, journal title, volume and issue numbers, date, and page number(s).
  • Call numbers for books and scores, or bibliographic information (author/composer, edition, publisher, and page numbers).  
  • Call numbers for audio-visual materials, or discographic information (composer, performer(s), conductor, label, etc.).
  • Clear identification of personal copies of print and audio-visual material.
  • Call numbers for any items held by the Eisenhower Library.  Friedheim staff will arrange for the temporary transfer of the item.

   For electronic reserves:

  • Course name and number.
  • Complete citations for journal articles: article title, author, journal title, volume and issue numbers, date, and page number(s).
  • Call numbers and bibliographic information (author/composer, edition, publisher, and page numbers) for book and score excerpts.
  • Call numbers and track information (composer, title, performer(s), conductor, etc.) for CDs.
  • For DVD, Blu Ray, and VHS, a link to streaming content will be provided, if available.
  • Course materials, such as answer keys, study guides, notes, and exams, should be clearly identified.


What kind of materials can be placed on reserve? 

In-library reserve shelf Electronic access through Blackboard
Books and Scores Library copies or personal copies may be placed on reserve for the semester.  Titles not held by the library may be requested for purchase.  If the book or score is available electronically through the library's e-book or e-score subscriptions, a link will be provided through the course Blackboard page.  Otherwise, excerpts of up to 10% of a book or score can be scanned and made available through the course Blackboard page.
CDs Library copies or personal copies may be placed on reserve for the semester.  Titles not held by the library may be requested for purchase.  If the recording is available electronically through the library's streaming resources, a link will be provided through the course Blackboard page.  Otherwise, excerpts (tracks) of up to 10% of the recording can be made available as mp3s through the course Blackboard page.  Instructors may also use the library's streaming resources, and can create playlists for use in and outside of class.
DVDs Library copies or personal copies may be placed on reserve for the semester.  Titles not held by the library may be requested for purchase.  Currently, DVD excerpts are not available through Blackboard. The library offers several visual streaming resources, including Opera on Video and medici.tv.  If streaming is available for the performance, a link will be provided through the course Blackboard page.
Journal articles Photocopies of journal articles may be placed on reserve for the semester.  Print copies may not be placed on reserve, as they are non-circulating, so always available for use.  If a full-text version of the article is available electronically, a link will be provided through the course Blackboard page.
Course materials Hand-outs, course notes, and exams may be placed on reserve. Hand-outs, course notes, and exams can be digitized and made available through the course Blackboard page.

What kind of materials can NOT be placed on reserve?

BorrowDirect Items BorrowDirect items cannot be placed on physical reserve. Titles not held by the library may be requested for purchase.  If the book or score is available electronically through the library's e-book or e-score subscriptions, a link will be provided through the course Blackboard page.  Otherwise, excerpts of up to 10% of a book or score can be scanned and made available through the course Blackboard page.
InterLibrary Loans Items ILL items cannot be placed on reserve. Titles not held by the library may be requested for purchase. If the book or score is available electronically through the library's e-book or e-score subscriptions, a link will be provided through the course Blackboard page.  Otherwise, excerpts of up to 10% of a book or score can be scanned and made available through the course Blackboard page.
 

Deadlines for Submitting Reserve Lists

Deadlines for submission:

Fall 2017: August 11 (e-reserves) ; August 18 (traditional reserves)

Requests submitted after the deadline will be processed in the order in which they are received and may not be completed by the beginning of the semester. Staff may need from 5-10 business days to process and complete requests submitted in the early weeks of the semester.

 

Finding Course Reserves in the Library Catalog

To see your course reserves in the online library catalog, do a keyword search using at least two of the following terms:

  • instructor's last name
  • word from course title
  • course number
  • fall/spring semester
  • the word "reserve"

Example: 'Hildebrand Fall America' or 'Hildebrand reserves' or 'Hildebrand 610.695'
